Every property brings work that needs a next step.

Rental management. Association management. Quarry brings your managed properties' public records into view, with sources and gaps visible. In Studio, your AI assistant prepares a records-request packet as PDF and editable Word. The community association manager reviews the response and its deadline. Legate keeps follow-through under your team's control. Your firm reviews outgoing work and decides what happens next.

Out of forty-five recurring processes, Regaldi runs twenty-one with your confirmation, prepares fifteen for a licensed decision, and leaves nine with your broker, manager, board, or attorney. Every process names its tool.

Prospecting calls stay with your licensed team. AI calls only with prior written consent.

Studio prepares documents. Legate organizes follow-through. Quarry watches public records.

Your people make the decisions.

In short

Regaldi LLC is a Florida software company that gives property management firms an AI assistant for rental and association work. Regaldi Studio prepares documents and keeps working files, Legate handles intake and approved follow-up, and Quarry gathers public records and watches the properties a firm manages. Of the 45 recurring processes mapped for a property manager, Regaldi runs 21 with a person at the firm confirming, prepares 15 for the licensed professional’s decision, and leaves 9 with licensees, boards and counsel, including applicant decisions, lease terms, evictions, disbursements and board decisions. CAM work stays under direct licensed supervision. Regaldi is not a brokerage, CAM firm or law firm and holds no real estate or CAM license. Working files stay in the firm’s folder; content the assistant reads passes through Regaldi’s server to the AI provider, today Anthropic or OpenAI. Work starts with one workflow and a written scope.

Rental management. Association management. Clear responsibility.

Rental management

36 processes
Visible work
Inquiries, showing schedules, maintenance intake, approved vendor dispatch, lease drafts, owner statements and trust records.
Decision owner
The broker or the appropriately licensed professional; the owner and the attorney where the law requires.

With the shared compliance and new-business groups: 18 run, 10 prepared, 8 with people.

Leasing property for others is licensed work. Community association management has its own individual and firm licensing requirements. Small commercial work fits the shared records and administration layer; residential Chapter 83 rules and the condominium and HOA statutes are not applied to commercial leases.

Keep every request attached to its next step.

Legate logs the request, follows your routing rules and coordinates the vendor your firm approved.

Maintenance request
  1. 01Resident requestLogged with photos and confirmed to the resident.
  2. 02Emergency ruleThe firm’s written rules sort it. An emergency goes to the on-call person at once.
  3. 03On-call person or approved vendorThe vendor the firm approved for that trade, after a license check.
  4. 04Visit recordScheduled through agreed channels, with entry notice where it applies.
  5. 05Photos and invoiceThe request closes with the evidence attached.
Rental inquiry
  1. 01Rental inquiryLogged and answered in the firm’s words. The reply says it is automated.
  2. 02Objective unit factsRent, fees, size and availability as the firm wrote them. Terms and condition go to a person.
  3. 03Showing with the licenseeAn appointment on the licensee’s calendar, with approved reminders.
Illustrative workflow The normal route never makes an emergency wait for routine review. The rental route stops at objective unit facts and a showing appointment with the licensee.

Emergency and habitability decisions stay with your team. Repairs follow the licensee’s directions. After-hours AI voice is a setup option for each firm.

Legate checks the vendor’s license in the DBPR registry; a missing registry result needs a person to check it and does not by itself establish anything. Insurance is reviewed from the vendor documents your firm holds. No lock-code, ID-check or self-tour connector.

Put the work into a usable document.

Studio turns approved records and your firm’s forms into PDF and editable Word drafts.

  • Records-request packet The checklist of what was asked, what was gathered and what waits for the CAM.
  • Owner statement Rents, expenses with invoices, reserves and the proposed disbursement.
  • Lease from your form Approved terms filled in, with the disclosures and addenda listed for the licensee.
  • Board packet Agenda draft, minutes draft, budget draft and the dates that apply.
  • Notice drafts Entry, three-day and seven-day notices with their deadlines shown, for the licensee to check.

  1. 01

    The working folder

The assistant reads the PDF, Word and Excel files in the folder you choose, searches across them when a task needs it, and proposes each edit as a change for you to review.

  2. 02

    The computer

With your permission it opens supported applications, clicks and types, and records each action. Sending, signing and paying wait for you.

  3. 03

    Your browser and exports

Your management software stays your own. The assistant works in the browser session you are signed in to, and with the exports you save, under your permissions.

Use your working folder and supported computer actions. Keep sources and unresolved questions in the draft. Working files stay in your firm’s folder. Content the assistant reads passes through Regaldi’s server to the AI provider, today Anthropic or OpenAI. Conversation memory and uploaded attachments are stored on Regaldi’s server under written terms.

These are responsibility assignments, not 45 integrations or a measure of time saved. Left off the map on purpose: AI or automated calls and texts selling management services to people who have not given prior express written consent, any approval or denial of an applicant by the system, self-help evictions, any payment to an unlicensed person for referrals, and contact with individual owners because of a lien, lis pendens, death or code case on their home.

The licensed decision stays with your firm.

Regaldi gathers, prepares, schedules and records. Your professionals approve, advise, negotiate and authorize. The system works like an unlicensed assistant under their direct supervision: renting for others is broker activity under §475.01(1)(a), F.S., practicing without a license is a third-degree felony (§475.42(1)(a), F.S.), and a person who performs clerical or ministerial functions under the direct supervision and control of a licensed manager needs no CAM license (§468.431(2), F.S.).

Regaldi LLC is a Florida software company. It is not a brokerage, CAM firm or law firm. It holds no real estate or CAM license, manages no property or association, holds no money and gives no legal advice.

The broker controls escrow and signs the monthly reconciliation. Association funds move only as authorized for the board’s designated purposes.

  1. 06

    Applicant decision Licensee

    FCRA, 15 U.S.C. §1681m(a)
What the rule places with people
The firm approves or denies each application under its own written criteria. After adverse action based on a consumer report, the firm sends the notice with the reporting agency’s details, the statement that the agency did not decide, and the right to a free report and to dispute it.
What the system does around it
The system prepares the file and an adverse-action notice with every element the law requires. The firm approves or denies and sends the notice.
  2. 07

    Showings and lease terms Licensee

    §475.01(1)(a); §475.011(4), F.S.
What the rule places with people
Renting for another for compensation and negotiating a lease are broker activity. A salaried onsite leasing employee of an apartment community is exempt; software is not. An unlicensed assistant gives objective written information and does not answer questions beyond it.
What the system does around it
The system prepares the unit sheet, comparable rents in the portfolio and the owner’s limits. A licensed or specifically exempt person shows the unit, answers substantive questions and negotiates.
  3. 14

    Accommodations and disputes Licensee

    42 U.S.C. §3604(f)(3)(B); §760.27, F.S.
What the rule places with people
Refusing a reasonable accommodation is discrimination. Florida limits what may be asked: reliable information where a disability is not apparent, never the diagnosis or severity, and no required form or notarized statement.
What the system does around it
The system keeps the request, the documents and the dates. A person decides, with counsel where needed.
  4. 18

    Eviction Owner · Attorney

    §§83.59(2), 83.67, F.S.
What the rule places with people
A landlord’s agent who is not an attorney may take no action other than the initial filing of the eviction complaint. The owner decides whether to evict. No lockout, utility shutoff or removal of possessions.
What the system does around it
The system assembles the lease, ledger, notice and proof of delivery. The owner decides; an authorized agent may make only the initial filing where permitted, and further action is counsel’s.

    Disbursements Broker · Board

    61J2-14.010(1), F.A.C.; 61E14-2.001(2)(b), F.A.C.
What the rule places with people
The broker must be a signatory on every escrow account and controls releases. Association funds are used only for the purposes the board designated.
What the system does around it
The system prepares the payment run with balances and invoices. The broker, or for an association the people the board authorized, releases funds through their own bank and software.
  6. 32

Board decisions and contracts Board · CAM · Attorney

    §468.431(2); §§718.121, 720.3085, F.S.
What the rule places with people
Collecting amounts due before a lawsuit and negotiating contract terms are CAM practice. Late, lien and foreclosure notices run on statutory clocks; the board decides, and the association’s attorney records liens and forecloses.
What the system does around it
The system prepares the delinquency file and a contract comparison. The board decides, the CAM negotiates within the license, and the association’s attorney handles liens and foreclosure.
  7. 38

Legal advice and complaints Broker · CAM · Attorney

    §475.25(1)(u); §468.436, F.S.
What the rule places with people
The broker directs and supervises the firm’s licensees, and CAM discipline covers conflicts and violations of the association statutes. Legal advice comes from a lawyer.
What the system does around it
The system keeps the file and the timeline. Complaints and disputes go to the broker or the CAM; legal questions go to the firm’s or the association’s attorney.
  8. 44

Management agreements Broker · CAM firm · Board

    §475.01(1)(a); §468.4334(1)(c), F.S.
What the rule places with people
Fees and terms for managing property are agreed and signed by the broker or the CAM firm. Every CAM contract carries the statement the statute lists, and an association’s board approves the agreement.
What the system does around it
The system may prepare the proposal and supporting drafts, including the CAM contract statement. Professionals negotiate and sign, with the board’s approval for an association.
  9. 45

    Phone prospecting Licensee

    §§501.059, 501.616(6), F.S.
What the rule places with people
Procuring owners is broker activity, and calls to owners and board members on personal phones follow the telephone rules. AI or automated sales calls and automated texts need prior express written consent. Florida limits sales calls to 8 a.m. to 8 p.m. and three calls in 24 hours on the same subject.
What the system does around it
The system checks numbers against the national, Florida and firm do-not-call lists and records the result. The licensee dials personally. Cold AI prospecting stays off.

A board member exercising a board duty needs no broker license; these are the roles the law gives each person. Read Chapter 475, Chapter 468, Chapter 83, Chapter 718 and Chapter 720 in full. General information, not legal advice.

Professional and channel boundaries

The limits each workflow keeps, by topic. Each process on the map links here.

Licensing§§475.01(1)(a), 475.011, 468.431(2), 468.432, F.S.

Leasing for others, substantive showings, lease terms, negotiation and procuring tenants remain licensed work under §475.01(1)(a). The narrow onsite-employee and condominium or co-op manager exemptions in §475.011 do not license Regaldi.

Community association management needs an individual CAM license above 10 units or an annual budget over $100,000; the firm license applies above 10 units or a budget of $100,000 or more. Clerical CAM support needs the direct supervision and control of a licensed manager.

CAM practice§468.431(2), F.S.

Notice periods, amounts due, quorum and votes, budgets, estoppels, collections before a lawsuit, maintenance coordination and contract negotiation are CAM responsibilities. The board adopts budgets and approves minutes; engineers perform milestone inspections and SIRS. Regaldi is not the manager of record.

Applicants and consumer reportsFCRA, 15 U.S.C. §§1681b, 1681m

The firm obtains reports under its own permissible-purpose account and applies the same written criteria to every applicant. Regaldi is not a consumer reporting agency, never obtains reports and never decides an application. Comparing a saved report with the criteria is preparation only, and counsel settles how the FCRA classifies that workflow before it is deployed.

Adverse action includes a denial, an added co-signer or a larger deposit based on a report. The firm sends the FCRA notice with the reporting agency’s name, address and phone number, a statement that the agency did not make the decision, the right to a free report within 60 days and to dispute it, and score information when a score was used.

Fair housing42 U.S.C. §3604(c); 24 CFR 100.75; Miami-Dade Code §11A-12

No discriminatory copy, steering, or targeting by protected class or its proxies in ads, criteria or service (42 U.S.C. §3604(c); 24 CFR 100.75). Local protections apply too, including Miami-Dade’s protection of source of income; how it interacts with §83.425, F.S., is a question for counsel. Criminal-history policy is set with counsel. The Fair Housing Act applies as written.

Housing-ad safeguards are not built into the drafting tools yet. Draft ads use verified facts, the licensed firm’s identity and the total monthly rent with required fees. No fair-housing badge or certification is offered.

Accommodations42 U.S.C. §3604(f)(3)(B); §760.27, F.S.

A person handles disability and assistance-animal requests. No question about diagnosis or severity, no mandatory special form and no notarization; where a disability is not apparent, only reliable supporting information is requested. An internet registration alone is not sufficient, and no extra charge applies for an animal the accommodation covers.

Leases and entry§§83.50, 83.505, 83.53(2), F.S.

The firm’s approved form, the landlord or agent name and address, the deposit disclosure and the applicable addenda. Statutory email delivery needs the signed §83.505 addendum. Repair entry is scheduled on at least 24 hours’ notice between 7:30 a.m. and 8 p.m., subject to professional review. Self-tour access and signatures run in the firm’s own systems.

Notices and eviction§§83.56, 83.57(3), 83.59(2), 83.64, 83.67, F.S.

The licensee validates every statutory notice, deadline and delivery method. The three-day nonpayment notice excludes weekends and court-observed holidays; that arithmetic is not applied automatically to seven-day notices. Month-to-month termination takes 30 days’ notice.

No retaliation, lockout, utility shutoff or removal of possessions. An agent who is not an attorney may make only the initial filing of the eviction complaint where allowed; further action belongs to counsel. Foreclosure-related tenant questions go to the owner’s counsel.

Deposits and trust money§83.49, F.S.; 61J2-14.008 to 61J2-14.012, F.A.C.

Deposit disclosure in the lease or within 30 days where required. Delivery to the broker by the end of the next business day and escrow by the end of the third business day are tracked. No commingling beyond the brokerage funds the rule allows, up to $5,000 per property-management escrow account.

The broker is a signatory on every escrow account, controls releases, and reviews, signs and dates the monthly reconciliation with differences and corrective action. The software moves no money. At move-out the 15-day return or the 30-day claim notice is prepared for certified mail or consented email; the professional decides the deductions.

Association records§§718.111(12), 720.303(4)–(5), F.S.

Condominium records requests run on a 10-working-day clock and HOA requests on 10 business days. The CAM authorizes disclosure, including restricted records. Condominium compliance checklists are kept seven years. Required website postings apply at 25 units for condominiums and 100 parcels for HOAs, in an owners-only area; there is no portal connector.

Association decisions and deadlines§§718.112(2), 718.116(8), 718.121, 720.305(2), 720.3085, 720.30851, 468.4334, F.S.

The CAM verifies the meeting type and the 48-hour, 7-day or 14-day notice rule, budget timing, the 10-business-day estoppel clock and the current permitted fees. Changes to assessment delivery need the notice and acknowledgment the statute requires.

HOA fines keep the hearing notice, an eligible committee, timely findings and the cure and payment protections. Delinquency files track the 30-day late notice and the 45-day lien and foreclosure notices; the board decides and counsel handles liens and foreclosure. CAM agreements carry the required contract statement.

Inspections and firm records§553.899; §718.112(2)(g); §468.4334(4); §475.5015, F.S.

Building-specific milestone and SIRS dates are calendared under professional review: the 30-year milestone, a 25-year coastal threshold where the local agency requires it, ten-year cycles, and SIRS for buildings of three habitable stories or more. City of Miami recertification is a separate source.

Licenses, education, association-list updates and member contact disclosures are tracked. Five-year brokerage records, association retention and litigation holds are kept by the firm, and records are returned within 20 business days when a contract ends.

Calls and textsTCPA; FCC 24-17; §§501.059, 501.616(6), 934.03, F.S.

Cold AI prospecting stays off. AI or artificial-voice marketing calls and automated marketing texts need prior express written consent (TCPA; FCC 24-17; §501.059(8)(a), F.S.). An inbound inquiry, a business listing or approval inside the workspace is not that consent. Nonmarketing autodialed or artificial-voice calls to mobile numbers still need prior express consent. The AI says it is automated.

Sales calls the licensee dials need national, Florida and firm do-not-call checks, Florida hours of 8 a.m. to 8 p.m. at the recipient’s location, and no more than three calls in 24 hours on the same subject (§501.616(6), F.S.). Recording needs every party’s consent. Partners and board members get the same protections.

Rent collection§559.72(17), (18), F.S.

Agreed channels and the firm’s approved words. No threats or unauthorized legal pressure, and no direct contact about a debt with a resident known to have a lawyer on it, absent a reviewed lawful exception. Reminders and maintenance updates stay out of 9 p.m. to 8 a.m.; the statute’s email exception is not used to relax that policy.

Email, mail and reviewsCAN-SPAM, 15 U.S.C. §7704; 61E14-2.001(2)(f), 61J2-10.025, F.A.C.; 16 CFR 465

Accurate sender identity on every message. Relationship messages stay within their purpose. Real clients write reviews: no fake or AI-written reviews and no incentive tied to a favorable one.

Public recordsQuarry coverage notes

A property watch is research, not a title search, lien search or inspection. A name match does not establish ownership, and an empty result does not establish a clean record. Miami-Dade first, other counties as their sources allow; many recorded liens in Miami-Dade carry no parcel link and stay name leads.

No outreach to individual owners because of a lien, lis pendens, death or code case on their home. Company records are research, not a dial list. Regaldi does not sell or publish rental lists.

Referrals and pay§§475.01(1)(a), 475.011(2), 475.25(1)(h), 468.4335, 720.3033(3), F.S.

Regaldi receives nothing tied to leases, tenants, rent, renewals, owners or associations won, and pays nothing for referrals. A firm’s own referral payments need professional eligibility review. Vendor benefits on the association side create a presumed conflict, and kickbacks are prohibited.

Assumptions editable

These defaults are assumptions for illustration, not measurements of any firm. Monthly work is converted at 52 ÷ 12 weeks a month. Per-door administration, move-ins and move-outs and association work can overlap; adjust the inputs so nothing is counted twice. The starting share comes from process counts, and processes take different amounts of time. Headcount changes the comparison, not the workload. Doors are a workload input, never a Regaldi billing unit.

Estimate

≈ 49.4 modeled hours a week of administrative work

About 15.4% of 320 assumed team hours a week. Workload selected for evaluation: about 23.1 hours.

(30 inquiries × 8 min + 40 requests × 15 min) ÷ 60 + 300 doors × 20 min ÷ 4.33 ÷ 60 + 90 move-ins and move-outs ÷ 50 weeks × 3 h + 3 associations × 10 h ÷ 4.33 = 49.4 hours a week; × 46.7% = 23.1 selected for evaluation

An estimate from the assumptions shown, not a measurement of your firm or a promise of time saved, staffing reductions, rent, occupancy or contracts won. The initial evaluation share uses process counts; processes take different amounts of time.

There is no AppFolio, Buildium or Yardi connector. Your AI assistant works in your authorized browser session and with your exports.

There are no native Rent Manager, DoorLoop, Vantaca, CINC or FrontSteps connectors either. Regaldi does not obtain tenant-screening reports or connect to your payments, trust bank accounts or e-signature service. Browser work uses your permission and supported actions; it is not a native integration.

Processing
Content used for a task passes through Regaldi’s server to the AI provider. Current providers are Anthropic and OpenAI.
Stored information
Conversation memory and uploaded attachments are stored on Regaldi’s server. Access, retention and deletion are governed by written terms.
Resident and owner data
Resident and owner data is not used to build lists for anyone else. Examples on this page use fictional companies and associations.
AI says so
AI communications identify the assistant as automated. An assistant that speaks or writes to residents, owners or partners does not present itself as a licensee.
Claims not made
No local-only processing, no zero data retention, no SOC 2 or similar certification, and no endorsement by FREC, the CAM regulators or any software vendor.

Review sources and drafts before relying on them. AI output can be wrong. The firm’s record-retention duties under §475.5015 and the association statutes are separate from how long Regaldi keeps a chat or an upload.

    Scope

One process, the sources it needs, the authorized accounts, the responsible professional, the baseline and a fixed scope.

    Credited once toward the project.

  2. 02 · PilotOne process

    Run

A supervised request workflow, a sourced property packet or a document draft, with approvals and corrections recorded.

Where a question remains open after the diagnostic.

  3. 03 · BuildIn stages

    Evaluate

Actual time, corrections, source quality and approvals, followed by your firm’s decision on whether to expand to the next workflow on the map.

Each workflow goes live only after the responsible broker or CAM approves its permissions.

A fixed price per firm for software and services. No per-door, per-lease, per-placement or per-renewal charges. No share of rent or management fees. Nothing depends on owners or associations won. Regaldi pays nothing for referrals.

The scope of each stage is agreed in writing. A smaller firm can start with Studio, Legate or a Quarry watch on its own. Fixed fees do not replace professional supervision. Regaldi reports the changes it observes and their limits; it does not promise results.

Bring Ita one recurring workflow

Tell us what your firm manages, rental, association or both, the counties you serve, and where the work slows down. A principal reads every inquiry and writes back by email. Do not include resident, applicant or individual-owner details, consumer reports, account numbers, confidential documents or passwords.

A form inquiry is not prior express written consent for AI marketing calls. Any later call consent is separate and specific.
