In short
Regaldi LLC is a Florida software company that gives licensed community association management firms an AI assistant for condominium and HOA administration. Regaldi Studio prepares board packets and drafts, Legate handles owner requests, approvals and follow-up, and Quarry watches the public records of the associations a firm manages. All system work is clerical, under the direct supervision and control of a licensed CAM. Of the 45 recurring processes mapped for a CAM firm, Regaldi runs 19, prepares 16 for the CAM’s review, and leaves 10 with the board, the CAM or counsel, including board decisions, estoppel issuance, reserve decisions, liens and fund disbursement. Regaldi is not a CAM firm or a law firm. Files stay in the firm’s working folder; content read for a task passes through Regaldi’s server to the AI provider, currently Anthropic or OpenAI. Owner data is never used to build lists. Work starts with one workflow.

Bring the whole record to the board.
Studio assembles the agenda draft, financial materials, open issues, vendor bids and inspection records into PDF and editable Word for the CAM’s review.
Agenda drafting and financial preparation are CAM practice (§468.431(2), F.S.), so the assistant assembles and drafts under direct supervision. It does not adopt budgets or approve minutes.
- Board packet Agenda draft, financials, open issues, bids and inspection records in one file.
- Meeting notice draft Agenda items and proposed dates, for the CAM to verify and release.
- Minutes draft From an authorized recording, for the secretary and the board to approve.
- Financial package Reconciliations and reports prepared for the CAM’s financial review.
- Estoppel packet draft Ledger inputs and statutory fields, for the CAM to check.
- Board proposal The firm’s licensed identity and service proposal, for CAM approval.
The CAM verifies the agenda, notice periods, figures and supporting records. The board decides.
Keep the request, the record and the review together.
Log requests with Legate. Gather records and prepare the packet in Studio. Put the CAM’s release and the authorized signature at the end of the workflow.
- 01 · Legate Request logged Received, dated and routed to the manager.
- 02 · CAM Clock confirmed 10 working days · Condominium records. 10 business days · HOA records.
- 03 · Studio Records gathered The checklist of what was and was not provided is kept.
- 04 · CAM Release The CAM releases the response.
- 01 · Legate Intake and flag 10 business days · HOA and condominium estoppels. Expedited: 3 business days, flagged separately.
- 02 · Studio Packet draft Ledger inputs and the statutory fields assembled.
- 03 · CAM Amounts checked The CAM checks the amounts, the facts and the form.
- 04 · Authorized person Issued and signed The assistant does not sign the certificate.
- 01 · Studio Document received Filed with the date it arrived or was created.
- 02 · Studio Posting date tracked Against the CAM-verified posting rule.
- 03 · Studio Staged on your screen In the association’s portal, with permission.
- 04 · Person Posting approved Nothing is posted until a person approves.
Sending and posting wait for a person. Signing and paying remain human actions in the association’s own systems.
Estoppel fees follow the statutory caps and the CAM’s instructions, and a late certificate affects the fee. This page shows no fee amounts, and Regaldi charges nothing per estoppel.
Existing software
There is no Vantaca, CINC, AppFolio, Buildium, FrontSteps or TOPS connector. Supported computer use works in your authorized screens alongside your existing systems.
No portal, accounting, bank, payment, voting or e-signature connector either. Regaldi has no voting, payment or owner-portal module; elections and owner votes run in the association’s own system.
Keep the public record in the board’s view.
Quarry watches your managed associations for code and building violations, liens, permits and inspection results, with sources and coverage gaps attached.
- 01 · Quarry Source record A violation, lien, permit or inspection result on a managed parcel, with its source link.
- 02 · CAM Association match checked Name and parcel linkage checked before anything is relied on.
- 03 · CAM CAM review The CAM decides what it means and what happens next.
- 04 · Studio · Legate Board packet Reviewed findings go into the packet; approved follow-up is organized.
Jurisdiction-specific City of Miami recertification status, where available.
Public-record research, not a title or lien search, inspection or engineering opinion. Name matches require verification. An empty result is not a clean record.
Coverage
Miami-Dade has the deepest supported coverage. Other counties depend on their sources. Code feeds may lack association names; recorded liens often lack a folio. Common elements may require a checked master folio or radius.
City of Miami recertification coverage does not extend to the county’s separate program or other cities. Miami-Dade unsafe-structure records are not collected. Some sources remain stale or unavailable, including tax status; daily collection is not a promise of same-day source publication or complete coverage.
The firm’s own files
Association-party liens and lis pendens can support follow-up on the firm’s own authorized matters after identity and filing checks. The attorney confirms legal effect and recording status.
Quarry cannot identify or count every association claim of lien. These files, and any owner data, are never used for outreach.
Keep inspection work connected to the next decision.
Studio records CAM-verified inspection dates, notices and reserve-study milestones from the association’s documents. Legate tracks the approved follow-up. Quarry adds City of Miami recertification status where available.
- 01 · Source Association documents Certificate of occupancy, the local agency’s notice, the study.
- 02 · CAM CAM verifies dates Which inspection applies, and when.
- 03 · Studio · Legate Calendar and reminders Verified dates recorded; notice drafts prepared for review.
- 04 · Board · Engineer Board and professional review Engineers inspect and study; the board and owners decide funding.
- Milestone inspection
- A structural inspection of qualifying buildings under §553.899, F.S., performed by an engineer or architect. Its date comes from the association’s documents and the local agency.
- Structural integrity reserve study
- A reserve study of the components the statute lists, under §718.112(2)(g), F.S., performed or verified by a qualified professional.
- City of Miami recertification
- A municipal program. Quarry shows its status for City of Miami parcels only; the county’s separate program and other cities are not covered.
Quarry has no building age and does not compute milestone dates. Engineers and other qualified professionals perform the required inspection and study work. Owners and boards retain funding decisions under the applicable rules.
A dedicated association view is in development.
We are developing an association-specific Radar. Verified coverage and examples will be published when available.
No cards, scores, volumes, counters, maps, lead lists or launch date are shown. The managed-association watch above works today.

These are responsibility assignments, not 45 integrations, a measured automation share or a measure of time saved. Setup and approvals apply to every row. Left off the map on purpose: AI or automated calls and texts selling management services without prior express written consent; any contact with an individual owner because of a lien, lis pendens, foreclosure, bankruptcy, death or code case on their unit; counting or certifying votes; signing estoppels; moving association money.
The board votes. The CAM manages. Counsel handles the law.
Regaldi organizes the work under licensed supervision. Your CAM, board, committees, owners and attorney keep their decisions. Notice periods, amounts due, quorum, budgets, estoppels, collection before a lawsuit, contract terms and maintenance coordination are community association management under §468.431(2), F.S., so the assistant does clerical work and prepares the rest for the CAM.
Regaldi LLC is a Florida software company. It holds no CAM license, is not a CAM firm or law firm, manages no association, holds no association funds, gives no legal advice and signs nothing.

Working rules, notices and limits
Who checks the dates, who releases each draft and what the system never does, by topic. Each process on the map links here.
Licensed work§§468.431(2), 468.432(2)(g), F.S.
All system actions are clerical and ministerial under the direct supervision and control of a licensed manager (§468.431(2), F.S.). The CAM verifies notice calculations, amounts, quorum, budgets, estoppels, contract terms and maintenance decisions.
Regaldi neither provides direct management services nor replaces the licensed personnel the firm must employ under §468.432(2)(g), F.S. Fixed fees and human approval do not make Regaldi a licensed manager.
Statutory clocks§§718.111(12), 718.116(8), 720.303, 720.30851, 553.899, 468.4334(4), F.S.
Dates are shown for CAM verification; the CAM confirms each one. Records: 10 working days for condominiums, 10 business days for HOAs. Estoppels: 10 business days, with expedited requests flagged separately. Website records: generally 30 days, with earlier meeting-notice rules where they apply.
Owner meetings: 14 days. Board notices: generally 48 hours; the HOA mailed alternative is 7 days; special-assessment and use-rule cases need their own review. Milestone owner notice: 14 days. SIRS distribution and the Division statement: 45 days. Record return: 20 business days.
Building safety calendar§553.899; §718.112(2)(g), F.S.
The calendar holds the CAM-confirmed milestone and SIRS schedule from source documents, including phase-one and repair-start clocks where they apply. Milestone age, local rules, extensions and study requirements are never inferred from Quarry.
The CAM verifies the condominium website threshold of 25 units and the HOA threshold of 100 parcels, the required access controls and the document categories. Engineers and other qualified professionals perform the inspections and studies.
Collections§§718.121, 718.116, 720.3085, 559.72, 559.553, F.S.; FDCPA
Collection-notice drafts are prepared, never system-run, and use counsel-approved templates. Counsel must resolve FDCPA applicability and the open §559.553 registration question before the workflow is enabled. CAM firms are not listed among the cited registration exemptions. No automated legal determination.
Counsel or the CAM verifies the statutory forms, the amounts, the 30-day late-assessment window, the 45-day intent-to-lien period and the separate 45-day foreclosure notice. Required first-class and certified or registered mail, the destinations and the proof of mailing stay in the file. No attorney fees before the required late notice. No collection contact between 9 p.m. and 8 a.m., and no direct debt contact with an owner known to have a lawyer. The board and the attorney decide and perform lien and litigation work.
Votes and money§§718.112(2)(f), 718.303(3), 720.305, F.S.; 61E14-2.001(2)(b), F.A.C.
The board, a committee or the owners make the decisions the law reserves to them. Required SIRS-item reserves cannot simply be waived, and a permitted pause or funding alternative needs its conditions and votes.
Fines and suspensions require the proper notice and hearing; condominium fines cannot become liens. Accommodation requests go to people, with counsel. Regaldi neither counts nor certifies election votes, signs estoppels or moves funds.
Calls and textsTCPA; FCC 24-17; §§501.059, 501.616(6), 934.03, F.S.
AI or artificial-voice marketing calls and automated marketing texts require prior express written consent. Non-marketing automated calls or texts to owners’ mobiles still require prior express consent. An inbound contact or a business listing is not written marketing consent. The AI assistant identifies itself as automated.
National, Florida and internal do-not-call checks apply. Florida sales calls stay within 8 a.m. to 8 p.m. at the recipient’s location, with no more than three calls in 24 hours on the same subject. Revocation and STOP are honored promptly. Recording requires every party’s consent. Board members’ personal numbers are not exempt because the offer concerns an association.
Email and noticesCAN-SPAM; §§718.112(2)(d), 718.128, 720.317, F.S.; 61E14-2.001(2)(f), F.A.C.
Statutory email delivery requires the owner’s applicable consent. Marketing email uses accurate sender information, the firm’s licensed name, license numbers, postal address, the required advertising identification and a working opt-out, suppressed at once as policy; the CAN-SPAM outer limit is 10 business days.
Consent to online voting is tracked separately, with the required device-check schedule. The association runs its own voting system.
Public recordsQuarry coverage notes, October 14, 2026
Watch only the firm’s own associations. No owner outreach, and no owner data or association lis pendens used for prospecting. Public-record research, not a title or lien search, an inspection or an engineering opinion. Name matches and parcel links need checking; missing records and unsupported feeds are not clean findings.
Miami-Dade has the deepest supported coverage; other counties depend on their sources. Code feeds may lack association names, recorded liens often lack a folio, and common elements may need a checked master folio or radius. City of Miami recertification does not extend to the county’s own program or other cities. Miami-Dade unsafe-structure records are not collected. Some sources, tax status among them, are stale or unavailable.
Conflicts and contracts§§468.4334(1)(c), (d), 468.4335, 718.3027, 720.3033(3), F.S.
Conflict disclosure, agenda attachment, minutes and the required director vote are followed. The CAM negotiates within the license and the board approves. Vendor-bid thresholds and professional disclosures require review.
Management contracts carry the required 12-point statutory statement, and the statutory standards cannot be waived. Turnover and records handover stay with the CAM firm and the board. No referral fees, revenue sharing or kickbacks.
Licenses and vendors§§468.432, 468.4337, F.S.; 61E14-4.001, F.A.C.
CAM and firm licenses, renewal and education duties, registry updates, member disclosures and meeting attendance are tracked. Contractor DBPR checks and insurance expiry tracking are clerical evidence, not a warranty. Engineer registry lookup is not verified in the product. A missing registry result is never treated as an accusation.
Files and processingWritten engagement terms
Files stay in the firm’s working folder. Content the AI assistant reads passes through Regaldi’s server to the AI provider. Access, retention, deletion, uploaded material and staff permissions are agreed in writing. No local-only, zero-retention or SOC 2 claim. Owner data is not used to build lists for anyone.

Studio uses the firm’s own screens with permission. No native connector, bank, payment, e-signature or voting system is offered. Sending and posting wait for human approval; authorized people sign and pay. AI output can be wrong; check sources and drafts before use.

- AI calls and texts
AI or artificial-voice marketing calls and automated marketing texts require prior express written consent (TCPA; FCC 24-17; §501.059, F.S.). An inbound contact or a business listing is not that consent. The AI assistant identifies itself as automated. FCC 24-17 Details
- Prospecting calls
The CAM personally dials prospecting calls after national, Florida and firm do-not-call checks, within Florida’s 8 a.m. to 8 p.m. limits and no more than three calls in 24 hours on the same subject (§501.616(6), F.S.). Board members’ personal numbers are not exempt. §501.616 Details
