Keep the practice moving. Keep the dentist in charge.

Your AI assistant prepares claim packets, organizes approved follow-up, and works in your practice’s own software on your own screen, configured per practice.

System-run work includes human confirmation. This is a responsibility map, subject to setup and approvals. Patient information requires signed Business Associate Agreements and the required safeguards.

Footage of people is AI-generated and illustrative. Product screens are faithful recreations of Regaldi interfaces on fictional demonstration data.
Film transcript

Every visit has work around it. The paperwork starts before the patient arrives. In Studio, your AI assistant assembles the claim packet from your files. Missing documents stay visible. Codes come from the dentist's notes. The dentist reviews and signs. PDF and Word are ready for review.

Legate organizes recall and treatment follow-up for review. Your practice approves the message. Patient consent and opt-outs determine the permitted channel.

Regaldi runs twenty-two of forty-five recurring processes, prepares fifteen for the licensed professional's decision, and leaves eight with them. System-run work includes human confirmation. Patient information requires signed Business Associate Agreements and safeguards.

Voice answers your practice line and follows up with patients and former patients. Never outbound to non-patients.

In short

Regaldi LLC is a Florida software company that gives independent general and family dental practices an AI assistant, configured per practice. Regaldi Studio prepares claim packets and documents and works in the practice’s own software on its own screen, and Legate keeps recall and approved follow-up moving. Of the 45 recurring processes mapped for a dental practice, Regaldi runs 22 with a person at the practice confirming, prepares 15 for the dentist’s decision, and leaves 8 with the dentist and the practice, including diagnosis and the treatment plan, prescriptions and sedation, claim signatures and clinical questions. Patient-data workflows remain excluded until applicable agreements, access controls, safeguards and operating procedures are reviewed and accepted. Regaldi does not practice dentistry. Files stay in the practice’s working folder; text read for a task is processed by Anthropic or OpenAI through Regaldi’s server. Work starts with one workflow and a written scope.

Prepare the packet. Keep the source.

Studio brings the dentist’s notes, exported image files, chart and authorization reference into a claim packet, with missing items marked for review.

The dentist interprets images, confirms the documented procedures and signs. Studio attaches files and copies documented codes. It does not choose or change codes.

Eligibility checks use the payer portal or your own practice software. Each portal submission is confirmed. Configured per practice.

Legate organizes recall, accepted treatment-plan follow-up, lab reminders and post-op check-ins for the practice to review.

  1. Recall reminder

Fictional due date 11/02/2026. To the number the patient supplied, consent checked, one of three messages allowed that week.

    Awaiting practice approval
  2. Accepted plan · email draft

Accepted 23 days ago, not yet scheduled. Email by default, no clinical advice and no pressure.

    Awaiting practice approval
  3. Post-op check-in

The practice’s instructions and a next-day check-in. A reported symptom goes to the dentist at once.

    Symptoms to the dentist
  4. Opt-out · stop contact

A reply of STOP ends the follow-up and is kept on the record. No further messages on that channel.

    Suppressed
Illustrative workflow examples Editorial examples on fictional data, not application cards and not evidence that any patient was contacted.

Recall intervals come from the dentist. Healthcare reminders: at most one a day and three a week, to the number the patient supplied, naming the practice, with an opt-out. No marketing or billing in those messages.

Treatment-plan texts and automated calls need the patient’s recorded prior express consent. Marketing needs prior express written consent. No outbound calls to non-patients. Symptoms go to the dentist.

Studio prepares. Legate follows through.

28 S/P processes require signed BAAs and safeguards before patient information is used. The nine non-patient-information workflows are 2, 14, 30, 33, 34, 35, 37, 39 and 41.

No clinical advice, image interpretation, automated code selection, telephone or in-person solicitation of non-patients, or referral payments. These are responsibility assignments, not 45 integrations, a measured automation share or a measure of time saved. The non-patient-information workflows use nonclinical or sanitized inputs only; open inquiry forms do not request health details.

The dentist has the last word.

Diagnosis, treatment plans, prescriptions, clinical attestations and consent remain with the dentist. Staff work within their authorized scope. Supporting records may be prepared around these tasks; preparing documents never makes them automated.

Regaldi LLC is a Florida software company providing practice-management services under rule 64B5-17.013(4)–(5). It does not practice dentistry, employ the practice’s dentists or hygienists, or own its patient records.

  1. 06

    Clinical questions Dentist

    §466.024(8), F.S.
What the rule places with the professional
A dentist may not delegate diagnosis, treatment planning or the prescription of drugs to anyone other than another licensed dentist. Whether a symptom is an emergency is a clinical judgment.
What the system does around it
The system books, follows the practice’s escalation instructions and records that the question was passed on. Only the dentist answers clinical questions and decides what is an emergency.
  2. 15

    Claim signatures Dentist

    §817.234(1)(a), F.S.
What the rule places with the professional
Preparing or presenting a claim statement with false, incomplete or misleading material information is insurance fraud. The dentist confirms the procedures, codes and narratives and signs; the system never chooses or changes a code.
What the system does around it
The system prepares and checks consistency. The dentist confirms the procedures, codes and narratives and signs.
  3. 16

    Diagnosis and treatment plan Dentist

    §466.003(3), F.S.
What the rule places with the professional
Dentistry is the examination, diagnosis, treatment planning and care of conditions within the oral cavity. Reading radiographs and planning treatment stay with the dentist.
What the system does around it
The system lays out the history, prior images and notes. The dentist examines, interprets every radiograph, diagnoses and plans.
  4. 17

    Prescriptions and sedation Dentist

    §466.017, F.S.
What the rule places with the professional
Prescribing is not delegable, sedation requires the appropriate permit, and the prescription-database check belongs to the prescriber or an authorized human designee. Opioid limits for acute pain remain clinical responsibilities.
What the system does around it
The system keeps the record and reminds about the prescription-database check. Prescribing, anesthesia and sedation are the dentist’s, under the applicable permits.
  5. 18

Clinical findings Dentist · delegated staff

    Rule 64B5-16.006, F.A.C.
What the rule places with the professional
Hygienists and dental assistants chart only what their training and the required supervision allow, and the dentist remains responsible. The rule version in force is verified before staff scopes are configured.
What the system does around it
Findings are charted by the dentist, or a hygienist or assistant within delegated scope, and confirmed by the dentist. The system never enters a finding.
  6. 29

Hardship, discounts and refunds Owner dentist

    §817.234(7)(a), F.S.
What the rule places with the professional
A general business practice of waiving deductibles or copayments while billing the usual charge is insurance fraud. Account decisions are the owner dentist’s, documented case by case; pricing, credit and refunds stay with the dentist.
What the system does around it
The system assembles the account history. Account decisions are the owner dentist’s, documented case by case and within the insurance-fraud restrictions.
  7. 38

    Board and peer-review response Dentist

    §456.073, F.S.
What the rule places with the professional
Statements to a peer review committee or the Department of Health are the dentist’s own. Peer-review protections and reporting duties are preserved.
What the system does around it
The system organizes the file. The dentist responds personally; file organization does not replace professional responsibility.
  8. 45

    Management agreements Owner dentist

    Rule 64B5-17.013(5), F.A.C.
What the rule places with the professional
A management agreement may not restrict the dentist’s judgment, control clinical staff, limit services or payment methods, or tie the fee to patient referrals; the fee reasonably relates to fair market value. Only the owner signs.
What the system does around it
The system flags per-patient, per-lead or percentage fees and any clause that hands control to a non-dentist. The owner dentist signs.

Measure the work you want to change.

Enter your volumes, review the assumptions, and choose one workflow to measure with your team.

Assumptions editable

This starting share comes from process counts. Processes take different amounts of time. Adjust it to your work. These defaults are assumptions for illustration, not measurements of any practice.

Estimate

≈ 42.3 modeled administrative hours per week

About 8.8% of 480 assumed paid hours a week. Workload selected for evaluation: about 20.7 hours, 4.3% of those hours.

(25 inquiries × 10 min + 160 visits × 6 min + 120 claims × 8 min + 80 open plans × 20 min × 12 ÷ 52) ÷ 60 = 42.3 hours a week; × 48.9% = 20.7 selected for evaluation

An estimate from the assumptions shown, not a measurement of your practice or a promise of time saved. Review and approval still take time, and work that uses patient information waits for BAAs.

Patient information requires a BAA.

Before Regaldi handles patient information, the practice and relevant service providers need signed Business Associate Agreements and the required safeguards. Until then, work excludes patient information. A signed agreement is one condition: patient-data workflows remain excluded until applicable agreements, access controls, safeguards and operating procedures are reviewed and accepted.

Clinical scope and escalation§§466.003(3), 466.024(8), 466.0281, 466.028(1)(nn), F.S.

Only a licensed dentist diagnoses, plans treatment, interprets radiographs and prescribes. No assistant-generated clinical findings and no consent conversation by the assistant. Hygienists and dental assistants work only within their training and the required supervision; the dentist remains responsible. The AI assistant is never described as licensed or Board-endorsed.

Pain, swelling, trauma, medication and other clinical questions follow the practice’s emergency instructions and reach the on-call dentist; the assistant does not decide whether a condition is an emergency. Initial orthodontic or aligner care requires the dentist’s in-person examination, or qualifying records within 12 months, and review of current radiographs; checking that documents exist does not assess their clinical adequacy. Patient notices name each treating dentist with phone, after-hours emergency contact and license information.

The dentist’s control of the practice§466.0285, F.S.; rule 64B5-17.013(4), (5), F.A.C.

Clinical judgment, equipment in use, records, pricing, credit, refunds, warranties, advertising, personnel and hours stay with the dentist. Management services cannot restrict judgment, control clinical staff, limit services or payment methods, impose scheduling preferences, penalize reporting or depend on referrals.

Regaldi provides practice-management services for a flat fee at fair market value. No fee is tied to patients, bookings, accepted cases, paid claims or production.

ApprovalsConfiguration per practice

Before an approval-gated workflow is offered, Studio’s act-without-asking mode and Legate’s autonomous dialing are locked off for the practice. Patient messages, portal or clearinghouse submissions and ledger actions then wait for a person at the practice. That configuration is verified for each practice before the workflow starts; approval by the practice is not the recipient’s consent.

Claims and codes§817.234(1)(a), (7)(a); §466.028(1)(j), F.S.

The dentist’s documented work supplies codes and narrative facts. No code is selected, upgraded or inflated by the system, and no claim statement is false or incomplete. The dentist confirms and signs; staff verify benefits, fees and submission.

Copayment and deductible waivers, hardship reductions and refunds are the owner dentist’s documented decision, case by case, never a standing practice. Copay relief is not advertised.

Benefits, estimates and insurance clocks§§627.6131, 627.6474(2), 636.035, F.S.; 45 CFR 149.610

A frequency limit, waiting period or exhausted maximum does not by itself make a service non-covered for contracted-fee purposes. The correct plan terms and the self-pay Good Faith Estimate duties apply, and prepaid-plan patients in good standing are protected from prohibited collection for covered services.

For the Florida rules and plans to which they apply: primary filing within 6 months and secondary within 90 days of the primary’s determination; electronic acknowledgment in 24 hours, action in 20 days, additional information within 35 days and payment or denial within 90 days; paper acknowledgment in 15 days and action in 40 days; appeals finalized within 60 days, with collection for covered services restricted while a denial or contest is pending. These clocks are not applied to ERISA, Medicaid or other plan types. Virtual-card or EFT terms need the dentist’s signed consent, and a prior authorization does not promise payment.

Membership agreements§624.27(4), F.S.

Owner-set terms, written and signed, with services and fees specified, duration and renewal disclosed, 30-day cancellation and the required refunds. The statutory “not health insurance” statement sits on the signature page in contrasting color and 12-point type. No membership contract is generated as a legal conclusion.

Records and accessRules 64B5-17.002, 64B5-17.009, F.A.C.; §456.057, F.S.

Records are kept at least 4 years from the last examination or treatment, with appointment entries and lab prescriptions kept 4 years and backups at least every 72 hours. Alterations are marked, dated, initialed and explained. Staff verify identity and the lawful basis for release and log the recipient and that basis. Copies, radiographs included, go out in less than 30 days and are never withheld for unpaid fees.

These are the practice’s duties as records owner. They do not describe how long Regaldi’s server keeps memory and uploads.

Phone policyRule 64B5-4.002(4), F.A.C.; §934.03, F.S.

No telephone or in-person solicitation of non-patients by the practice or anyone acting for it, even with consent. This offer excludes outbound calls to non-patients, including requested callbacks, and automated calls to professional partners. The practice line is answered; patients and former patients are followed up only for permitted purposes and with the applicable consent. Recording requires every party’s consent.

Reminders and consent47 CFR 64.1200(a)(1), (a)(9)(iv), (a)(10); §501.059, F.S.

Healthcare reminders go to the number the patient supplied, name the practice, cost the recipient nothing, carry no marketing or billing, stay within one a day and three a week, and offer an opt-out each time. Recall intervals come from the dentist.

Treatment-plan follow-up by text or automated call uses the patient’s recorded prior express consent. Marketing requires prior express written consent and any required HIPAA authorization. Florida restrictions and opt-outs still apply. The AI assistant identifies itself as automated; that is Regaldi policy, not a Florida dental AI statute.

Advertising identity and content§§466.019, 466.0282, 456.062, F.S.; rules 64B5-4.002, 64B5-4.003, F.A.C.

The responsible Florida dentist is identified by license number, or by name with the full name, address and phone on file, and the practitioner’s license type is stated. Named dentists practice at the location or own the practice. No self-praise, quality comparisons, fear, misleading partial disclosures or result promises.

If a practice advertises treatment fees, they carry “minimum fee only”, the exact ADA CDT nomenclature or code and a stated period of at least 90 days; free or discounted offers carry their dates and the capitalized 72-hour statement. “Specialist” only with the statutory qualifications; implant and cosmetic emphasis carry the capitalized non-specialty statement; covered telehealth treatment ads carry the in-person-examination notice; “sleep dentistry” only with a general anesthesia permit. This Regaldi page carries no prices or treatment offers.

Reviews and photos§466.019(3)(c), F.S.; 16 CFR 255, 465; 45 CFR 164.508

Real patient material only with written authorization and the applicable marketing permission. No fake reviews, no incentives for positive reviews, no suppression and no patient information in replies, including confirmation that someone is a patient. Material connections are disclosed and atypical outcomes are not presented as typical. Republishing testimonials remains a question for counsel, so there is no publication offer.

Referrals and compensation§§817.505, 456.054, F.S.; rule 64B5-17.003, F.A.C.

No gifts, credits, discounts, per-patient or per-lead payments or production share for referrals, including to professionals, schools, gyms or influencers. A thank-you note carries nothing of value. A fixed fair-market-value service fee does not by itself make a referral arrangement lawful. Federal-program work adds applicable Anti-Kickback Statute review.

Staff, safety, labs and incidents§§466.014, 466.017, 466.021, F.S.; 29 CFR 1910.1030

Licenses, permits, CPR and training dates are verified by staff; dentist education runs 30 hours per two years with the required controlled-substance education, and hygienist requirements are verified for the applicable cycle. Annual OSHA training and exposure-plan review, training records kept 3 years, the sharps log and sterilizer monitoring stay with the practice.

Lab prescriptions are dated and dentist-signed with the license number; lab disclosures are filed and shipments packed as the rule requires. Reportable sedation or anesthesia incidents need certified mail postmarked within 48 hours and a complete report within 30 days, signed by the dentist. Software neither performs safety procedures nor certifies compliance.

Patient information, complaints and privacy response45 CFR 160.103, 164.504(e), 164.404; §§456.057, 501.171, F.S.

Patient information only under signed Business Associate Agreements and the required safeguards; until then the work excludes patient information. The practice remains the covered entity and the owner dentist keeps control of patient records. No HIPAA certification, SOC 2, ISO or zero-retention claim.

The dentist personally handles Board and peer-review responses, with peer-review protections and reporting duties preserved. Suspected breaches go to the practice and counsel; the outer notification limits are not permission to delay, and there is no automatic breach determination.
